THE ROLE:

We are looking to create a new role within our charity, which will include managing both operational and administrative functions across all areas of Galway SPCA. We are very excited about this role as we believe it is pivotal in us being able to move the charity forward so that we can help more animals that so desperately need us. We have defined what we need at this time in this new role, but we anticipate that the role will develop and grow as the incumbent and the board learn just what more is needed for the benefit of the charity, which of course benefits all the animals in our care.  Ultimately, someone can come into this job and make it their own.

 

The role is full time (35 hours per week) and will initially be  based at our kennels in Killimor, so your own transport is essential as our premises are not on any bus routes.  The role will involve travel to our other locations: Briarhill Galway, which combines our cattery and shop and our other shops in Ballinasloe and Athenry.  You may be required to attend other external events, as and when required, and as the role answers directly to the Board of Trustees, you will need to attend the monthly meetings, either via remote access or in person.

 

The salary will be commensurate with experience.

 

DUTIES:

  • Oversee general administration at the dog sanctuary in Killimor
  • Oversee that the animal database is kept up to date and used to its  full potential
  • Ensure confidential information is kept according to GDPR regulations
  • Ensure animals travelling out of Ireland have all required documentation
  • Operational support to existing care teams in kennels, cattery and shops
  • Understand all areas to be able to support existing teams in management absences
  • Support/develop/train volunteer base across all operations
  • Support/develop/train/use of own volunteers to support this role as applicable
  • Provide KPIs and reports to the Board
  • Attend Board meetings as operational/management representative
  • Liaison with the Board as required
  • HR support/administration for example holiday records, staff issues, etc
  • Trouble shooting/support/liaison for management queries
  • Build relationships with adopters including follow up and advice
  • Build relationships with suppliers, vets, supporters etc

EXPERIENCE AND QUALIFICATIONS:

  • Strong office/administration background
  • Knowledge of computer systems, Microsoft Office and experience of databases
  • Experience of the charity sector would be advantageous, but not necessary
  • Own transport essential to be able to get to the sanctuary and to travel to our other sites (mileage allowance available)
